Church Office Administrator
Position Type: Part-Time, Hybrid (Financial and Administrative)
Work Hours: *25 hrs - wage offered will be commensurate with experience
•Monday – 9:00am – 3:00pm
•Tuesday – 9:00am – 3:00pm
•Wednesday –9:00am – 3:00pm
•Thursday –9:00am – 3:00pm
•Friday – off
•Saturday – off
•Sunday – 8:30am – 12:30pm
Accountability: The Church Office Administrator reports directly to the Lead Pastor.
Purpose: The Church Office Administrator is responsible for managing the day-to-day operations of the church office, handling both financial and administrative tasks, and providing support to the ministry staff.
Responsibilities:
Financial Responsibilities:
•Maintain the church’s checkbook and ensure all monthly bills are paid promptly.
•Monitor and manage church credit card accounts and payments.
•Distribute emergency funds for benevolence as requested by the Lead Pastor or the Board of Elders.
•Assist with payroll: communicate and submit payroll to B.B.C.S. for all hourly and salaried staff.
•Make bank deposits for the preschool and Sunday services.
•Prepare and file weekly income reports from the Financial Secretary.
•Review and distribute monthly credit card statements and receipts from staff.
•Oversee the Office Administration Budget.
Administrative Responsibilities:
•Check and distribute mail, voicemails, and emails daily.
•Maintain the church database, and event and facilities software, as well as track RSVPs for various ministry events and maintain records.
•Prepare weekly staff meeting agenda and attend weekly staff meetings.
•Create, print, and assemble weekly bulletins and announcements in association with church communications teams.
•Manage and monitor the door lock and unlock system.
•Provide administrative support to the church secretary, treasurer, Board of Elders, and Lead Pastor, and take minutes for monthly Board.
•Assist in planning and coordinating church events, including Vacation Bible School (VBS), Trunk or Treat/Fall Festival, and Spring Outreach.
•Oversee and support custodial staff through building schedule coordination and ordering custodial supplies and serve as liaison regarding their cleaning checklist.•Support the Care Team Coordinator with logistics for funerals, and coordinating responsive care to church members in other challenging life situations.
Qualifications:
•Proficiency in Microsoft Office Suite and church management software.
•Strong organizational, time management, and communication skills.
•Experience in financial management preferred.
•Ability to work independently and handle confidential information.
•Flexibility in a ministry setting.

Missions and Outreach Coordinator:

Accountability: The Missions and Outreach Coordinator reports to the Lead Pastor and works closely with the Missions Committee and other ministry leaders.
Purpose: The Missions and Outreach Coordinator is responsible for leading the church’s efforts to reach the community and beyond through local and global missions, coordinating outreach events, and partnering with community organizations.

Accountability: The Missions and Outreach Coordinator reports to the Lead Pastor and works closely with the Missions Committee and other ministry leaders.
Purpose: The Missions and Outreach Coordinator is responsible for leading the church’s efforts to reach the community and beyond through local and global missions, coordinating outreach events, and partnering with community organizations.
Responsibilities:
- Plan and execute outreach events, including Vacation Bible School (VBS), Trunk or Treat/Fall Festival, and Spring Outreach events (such as Easter).
- Lead the missions team in organizing church’s annual Be The Church Weekend service projects and post weekend recap / celebration.
- Work with the Missions Committee to coordinate outreach opportunities for the church, including food drives, Christmas drives, and Salvation Army bell ringing.
- Build relationships with local organizations and community leaders to identify and facilitate outreach programs.
- Work with other ministries to promote mission throughout all of the departments of the church.
- Establish and help maintain connections between the church and the missionaries it supports.
- Assist with marketing and promotion of outreach events through church bulletins, announcements, and social media.
- Maintain records of outreach activities and evaluate the impact of the events on the community and congregation.
- Collaborate with the Assimilation Director to help attendees and new members discover ways to participate in outreach and missions activities.
- Provide regular updates to the Lead Pastor and the Board of Elders on outreach initiatives and their outcomes.
Qualifications:
- Experience in organizing and managing outreach or mission-related events.
- Strong communication and organizational skills.
- Ability to build and maintain relationships with community leaders and organizations.
- Experience in volunteer recruitment and management.
- A heart for missions and a desire to serve the community.
